The Opportunity

We are seeking a Senior Legal Assistant Supervisor to join our Firm. This position will be based in our Washington D.C. office (hybrid). The Senior Legal Assistant Supervisor assists the Senior Manager with the overall oversight of the Legal Assistant Services Department. The Senior Supervisor has direct oversight of recruiting, onboarding and day-to-date operations of the junior-level legal assistants (paralegals) and works with the Senior Manager and Director of Legal Assistant Services to oversee the progress of ongoing projects and initiatives. The Senior Supervisor collaborates on projects related to the Records Management, Managing Law Clerk, and Legal Technology ("the Departments") as needed. Responsibilities include, but are not limited to, department recruiting, staff oversight, training and employee development, performance management, and general process improvement in the DC office (in partnership with Senior Manager and Office Administrative Director).

  • Oversees the day-to-day operations of the junior-level legal assistants (paralegals).
  • Works closely with the Legal Assistant Management team to assist with overall management of the DC Legal Assistant Services Department.
  • Assists with implementing programs that increase efficiency, strengthen employee knowledge and abilities, encourage leadership, and maintain upper margin service support for attorneys and clients.
  • Demonstrates knowledge of the litigation process and case management skills, as well as familiarity with corporate transactions in order to provide case-work guidance.
  • Determines the operational support required for new cases and overall case management for junior-level legal assistants.
  • Collaborates with the Senior Manager to develop and implement departmental goals and objectives.
  • Consults with attorneys and works closely with the Legal Assistant Management team to ensure proper daily and long-term work flow and assignments of attorney/legal assistant teams.
  • Provides ongoing guidance to legal assistants including on case management best practices and training initiatives.
  • Ensures proper daily workflow, distributes assignments and oversees workloads.
  • Monitors time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.
  • Reviews disbursement reports to ensure compliant and appropriate billing.
  • Works with the Senior Manager to review monthly utilization reports to optimize utilization.
  • Coordinates projects, including identifying resources required, overseeing progress of ongoing projects, communicating closely with others regarding the progress of projects, and ensuring that all administrative tasks are being completed both timely and efficiently.
  • Communicates departmental guidelines and procedures.
  • Identifies issues and needs of the workplace environment and communicates those issues and needs to the Senior Manager.
  • Ensures accurate and timely responses to requests for departmental services.
  • Provides the Senior Manager with updates on day-to-day operations and progress of projects in department.
  • Participates in the interviewing, selection and training process.
  • Plans and coordinates training programs and team building initiatives in collaboration with the global Legal Assistant Management team.
  • Oversees training for DC Legal Assistants on case-related subjects and department processes.
  • Oversees employee work performance and provides guidance in the resolution of problems.
  • Communicates performance expectations, monitors junior-level legal assistants' performance, coaches, and manages unsatisfactory performance with guidance from the Senior Manager.
  • Recommends and participates in disciplinary procedures.
  • Ensures current knowledge of Firm policies and practices for staff, current knowledge of industry trends and continued professional development for staff.
  • Recommends changes and improvements in methods and procedures to the Senior Manager.
  • Oversees administration of the Legal Assistant Mentor Program.
  • Assists with preparing and monitoring department budgets and expenditures, and ensuring that vendors provide cost-effective services.
  • Performs other related duties as assigned.

Qualifications

  • Demonstrated experience with leading and supervising others
  • Current knowledge of industry best practices, trends and techniques
  • Advanced knowledge of relevant Firm computer software programs (e.g., Outlook, Word, Excel, PowerPoint) and project management and database applications, with the ability to learn new software and operating systems
  • Excellent presentation skills
  • Excellent customer service skills
  • Ability to execute instructions and Firm policies with authority
  • Ability to handle more complex issues/duties requiring independent exercise of discretion and judgment
  • Demonstrated knowledge of the litigation process and case management skills, as well as familiarity with corporate transactions
  • Excellent analytical, troubleshooting, organizational, and planning skills
  • Ability to defuse a tense situation
  • Ability to effectively supervise others
  • Ability to administer Firm policies and procedures
  • Flexibility to travel
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs


Experience/Education

  • Bachelor's degree.
  • Minimum of five years of legal assistant or other related experience with demonstrated leadership and high-level case coordination skills.
  • Minimum of three years of supervisory experience.
